Service Order Status and their definition
Appointment – To be used when a customer calls and schedules a time to bring in the unit to be worked on.
- This does not impact part inventory.
Quote - To be used when a customer requests to know the cost of doing the work prior to approving the work being done.
- This does not impact part inventory.
Estimate - Sets the invoice to Estimate status when the customer has left the unit to be worked on but you have not yet started the work.
- Any part and Service Order with the status of “Estimate” will reduce the quantity available value of the part.
In Work - Used when the customer’s unit is actually being worked on by a technician.
- This status will reduce the quantity available value for the parts that are on the Service Order.
Wait for Parts - This status is used when a special order part is on the Service Order. The system will automatically select this status or it can be manually set.
- This status will reduce the quantity available value for the parts that are on the Service Order.
Seek Approval - Used when you stop work to find someone who is willing to pay the bill, usually when it is a warranty work or internal goodwill.
- This status will reduce the quantity available value for the parts that are on the Service Order.
Completed - Used when all work on the Service Order is done and you are waiting for the customer to pick up the unit. Also use when all work is done and you are waiting for payment.
- This status will reduce the quantity available value for the parts that are on the Service Order.
Charge on Account - Used when the customer has arranged to make payment to the dealership for the cost of repairs.
- This status reduces the quantity available value for the parts listed on the service order.
Paid - Used when the Service Order has been paid in full. If the customer is paying it, the system will automatically select it when the payment has been entered. If the entire Service Order is a warranty or for Stock Internal, then it has to be manually selected.
- This status reduces the quantity in stock value for the parts listed on the service order.
Cancelled - Select when you wish to remove an existing Service Order and no work has been or will be done from it.
- This will return all part inventory quantities back to the value prior to the start of the Service Order.
