Overview:
We have changed the functionality regarding how the Customer Credits are treated in DealerVu.
Implementation:
The following procedures all resulted in a Credit to a Customer’s Account:
- Invoice reversals
- Adjustment Invoice Credits
- General Journal Entry
- Account Credit (payment on account)
Previously, all credits were grouped ( in a ‘Pool’) in the Credit Transactions tab in the Customer Detail record, and could be used to pay off invoices, for a deposit, or the customer can request a payout cheque.
As these credits were treated as one lump sum amount (Pooled), they had no effect on aging reports and were not include in interest charge calculations on overdue invoices.
Changes:
As of Version 1.27, all credits will be treated as negative invoices, except for payments on account (account credits).
When processing a customer journal entry, post as usual.
When processing a parts invoice return, service invoice return, or an adjustment invoice, set the status to charge on account – this will create a negative invoice.
- Both invoices and credits will now appear in the Payment Transaction Tab in the Customer record, and aged per the age selection currently used in DealerVu;
- The Credit Transactions tab will now only show account credits, and negative transactions converted to credits;
- Deposits tab remains the same.
To convert negative invoices to account credits:
- Open a credit invoice and pay it using account credit – same as we did in previous versions;
- This will move the payment to the Credits transactions tab;
- The customer can then use this credit for their deposit and payments.
