Running Customer Statements
First, in system settings> misc > misc > determine whether or not you want the customer’s credit limit to show on the statements:
Second, ensure that any customers you never want to generate statements for (i.e. internal customers etc) have the checkmark OFF in customer details, on the account tab:
To run customer statements, go into customer management, reports, customer statements (If you stop here, this also is another way to run statements - the old way), then again go to Reports, Customer Statements, to run the NEW ones:
Choose the start date and end date, corresponding to the period in which you are generating the statements for and hit refresh:
Now the Parameters box pops up:
- Pick all or handpick individual names.
- Choose between:
- Show both Charge on Account and paid invoices (this means it will show you all invoices that have been charged on account that are not paid in full yet and all invoices paid during the date range initially chosen.) – OR -
- Show Charge on Account and not paid invoices. (this means it will show you all invoices that have been charged on account that are not paid in full yet and not show invoices that were paid in full during the date range initially chosen.)
- Choose sort by Invoice Number OR sort by Invoice Date – this pertains to how it displays the data for each statement.
- Choose sort in Descending or Ascending order, regarding what was chosen prior with sort by invoice number or by the invoice date.
- Choose between:
- Yes, generate statements with a credit net balance (this means that if the client has a credit net balance, regardless of whether he has only a credit or whether he has charges and a credit but the credits are bigger than the charges) – OR –
- No, generate statements with non-credit Net Balance only (this means that for all customers whose charges are higher than the credits, or they may only have charges and no credits, resulting in a balance owing, these statements only will be generated.)
- Choose between:
- Yes, include zero Net Balance accounts (this means that even if the client owes nothing, but has activity on his account, it will print a statement)
- No, exclude zero Net Balance accounts (this means that even if the client has charges and credits, but the net balance is zero, it will not print a statement).
